Whether planned or spontaneous, change is inevitable and seldom easy to cope with.
The world is in hyper-drive. Frequent political, economic, social and technological transformations demand equally frequent alterations in the way people function and organisations are structured.
ILLUMINAT has accepted that change is a natural outcome of the services we provide to clients. Our Change Management approach ensures that our clients obtain timely information about issues that would impact upon their organisations when implementing Information Technology and Communication (ITC) solutions.
In this respect, we have partnered with VEER Solutions Limited to offer Change Management Consultancy Services to provide our clients undergoing technology-related changes with a road map to minimise organisational upheaval and maximise implementation benefits. This is particularly recommended where an ITC project spans more than one client department, or involves the introduction of more than one type of technology.
Our approach to Change Management has been adapted from the Prosci methodology which is geared specifically at change resulting from Information Technology and Communication Technology interventions.
ILLUMINAT’s Change Management Methodology:
Define the change with the client: vision; business objectives; short, medium and long-term goals; some units versus entire organisation.
PHASE
1
Prepare
Prepare the management team for change: why change; benefits of change; the change process.
Identify the sponsors, champions and potential disaster areas: who will head it, who is willing to push it through and who may try to stop it. Look at clients’ history, processes and systems.
| |
Plan the change project: explore deliverables; force field analysis; benefits versus losses; execute communication strategy; identify groups needing specialist training; suppliers; set delivery times; outline critical success factors.
PHASE
2
Implement
Organise the deliverables of the project: GANTT Chart; Critical Path Analysis: PERT Analysis, Resource Allocation, etc.
Manage the provision of all deliverables (set baseline and agree on monitoring variances); monitor and document fallouts: keep track of scope changes and the achievement of set milestones.
Perform Change Audit. Collect data that shows whether the change is or is not achieving the intended results for the client and analyse feedback; make recommendations to client.
PHASE
3
Reinforce
Explore any gaps that may exist subsequent to the change being implemented and identify persistent pockets of resistance; develop strategy for reducing both gaps and resistance.
Implement Corrective Action and Celebrate Success: additional training; underlying benefits; weeding out cogs and just rewards for achievement.
Change Management is an integrated part of our Project Management methodology and is a fundamental part of the culture we aspire to attain. Processes adopted by ILLUMINAT are each geared to ensure that our clients are provided with adequate support to manage the transition from their existing state, to the state that they envision for themselves.
OUR PRE-SALES PROCESS
Our Account Managers and Solution Consultants are among the most experienced in the region. Their role includes working with clients to ensure that projects are properly scoped, helping them to:
-
examine the existing state of clients’ infrastructures and systems
-
identify solutions that would assist clients in meeting their business objectives
-
highlight the benefits to be gained by introducing new technology, and
-
analyse the potential impact of new technology on user groups across clients’ organisations to effect enhanced efficiency and cost effectiveness.
IMPLEMENTING ITC SOLUTIONS
ILLUMINAT focuses on the technical, physical, financial and human aspects of each implementation. Our objective is to ensure a mutually beneficial result for both our clients and our organisation.
Project Managers are employed to ensure projects are delivered within set timeframes, within cost and to agreed quality standards. By focusing on the delivery of effective ‘work packages’ and through effective communication, we are able to work with our clients to ensure resources are committed and motivated to move projects to completion.
OUR POST-IMPLEMENTATION SERVICES
Our post implementation services are geared at taking our clients beyond the point where change can be categorised as successful. At the same time we ensure that clients continue to benefit from on-going maintenance and support of systems.
Through providing the support our clients need during and after an implementation, we ensure a greater chance of their successful implementation of ITC projects.
